How should an agent win a listing appointment?

By being the first to respond with something specific about their property, not by arriving with a presentation.

The listing appointment is treated as the contest and is frequently the formality. A seller contacting several agents forms an impression from the responses long before anyone arrives, and by the meeting they have usually decided who they expect to instruct. An agent who prepares an excellent presentation and responded second is competing against a decision that has already been made.

Speed is the first variable and it is not close. A seller who has decided to sell is in a short window of active attention, contacting agents in sequence, and the one who responds while that is happening becomes the reference. Given how sharply response rates decay across the first half hour on any enquiry, and how much larger a listing is than a routine one, the arithmetic is unusually favourable for responding immediately.

What the response contains decides the rest. A general reply offering to arrange a valuation is what everyone sends. A reply that says something specific about their property and their street — what similar properties there have done recently, what is currently available nearby, what the particular characteristic of that house means for who will buy it — demonstrates local knowledge in a way no credentials slide does, and it takes minutes for an agent who knows the area.

The appointment itself is then a confirmation rather than a pitch, and it should be treated as one. Sellers who have already formed a preference are looking for reasons to be comfortable rather than reasons to choose, which means listening carefully to what they are actually worried about — timing, a chain, a price they need to achieve, disruption to their household — and addressing those specifically. An agent who arrives and presents rather than asks frequently loses a decision they had already won.

The price conversation is where good positions get lost, and the temptation is structural. Agreeing with an optimistic figure wins the instruction and produces a property that does not sell, a reduction conversation weeks later and a seller who trusts the agent less than they did. Giving the evidence for a realistic figure, in writing, is harder in the meeting and is what produces a sale and a reference, which is what the instruction was for.

The fee conversation is now a written commercial conversation rather than an assumed practice, on both sides of the transaction. What the fee is, what it covers, and how buyer-side compensation is being handled should be stated plainly rather than left to convention, since convention has changed and sellers are asking. An agent who explains it clearly is answering a question the others are hoping will not come up.

Most listing appointments are decided by an email sent before anybody walked through the door, and the agents who lost them are still refining their presentation.
